Our goal is to provide professional, hands-on training in a respectful and supportive learning environment. These policies are here to keep expectations clear for students, instructors and staff.

Email is the primary and usually fastest way to contact École Setsuko. Our staff are often teaching and may not be available to answer the phone. Voicemails may be left, but please allow 2–3 business days for email responses.

Students are responsible for keeping their email address, phone number and name current and for checking the email address used during registration, including junk/spam folders.

REGISTRATION & PAYMENT

Registration & Deposits

Registration deposits are non-refundable. Once a student registers, administrative work begins and a place is reserved for that student. Students must be 18 years or older to register for École Setsuko’s professional training.

Payment Plans

Payment plans are available only for Certificate and Diploma programs lasting longer than 3 months.

Payment plans normally follow the length of the program. For example, a 5-month program may have payments spread over approximately 5 months, while a 9-month program may have payments spread over approximately 9 months.

Payment plans are not available for weekend workshops, short courses or programs lasting only a few weeks. All tuition and fees are expected to be paid by the end of the program.

If unexpected financial circumstances arise, contact accounting@ecolesetsuko.ca as soon as possible. Accounting may approve an individual arrangement. Extensions are not automatic or guaranteed.

Invoices & Receipts

The registration/deposit invoice is sent to the email address used during registration. Remaining-balance and payment-plan invoices are normally sent through Square. Workshop and short-course balance invoices are generally sent 1–2 days before the course. Certificate/Diploma payment plans are normally set up shortly before the program begins. Students should keep copies of their invoices, payment confirmations and receipts. École Setsuko cannot guarantee indefinite availability of older financial records.

Do not rely on the student portal to determine your current balance. Its payment section does not update as payments are made. Refer to your Square invoices/payment schedule or contact Accounting.

École Setsuko does not issue official tuition tax receipts or tax slips. Regular invoices and payment receipts are still provided.

Payment Methods

Payments should be made through the invoice provided by École Setsuko. Cash and e-transfer are not standard payment methods and should only be used when arranged with Accounting in advance. Do not give cash payments to instructors or other staff.

Late, Missed or Declined Payments

Payments are due by the date shown on the invoice. If a payment becomes more than 7 days overdue, a $45 late fee will be added. After 2 missed payments, the student may be suspended from classes until the account is brought up to date or another arrangement has been approved by Accounting. Students are responsible for keeping their payment information current. An expired card or declined payment does not change the payment due date. Missing classes because of a financial suspension may cause the student to fall behind and may eventually require a move to another cohort.

CANCELLATIONS, REFUNDS & CHANGES

Workshops & Short Courses

Registrations and deposits are non-refundable. A workshop registration may be moved to another available date for the same workshop when at least 48 hours’ notice is provided. With less than 48 hours’ notice, the registration is considered cancelled and is non-refundable. A workshop no-show receives no refund, credit or transfer. Workshop registrations may be transferred to another person. École Setsuko must be notified, and the new participant must meet any required prerequisites.

If École Setsuko Cancels

If École Setsuko cancels a course or workshop, including because minimum enrolment is not reached, students may receive a refund or school credit. If École Setsuko cancels a class because of severe weather, power failure or another unexpected school closure, the class will be rescheduled at no additional cost. If the school remains open and class proceeds, a student who chooses not to attend because of weather is considered absent and the regular missed-class policy applies.

Changing Cohorts or Programs

Changing to another cohort or program requires school approval and is subject to availability. A $150 administrative fee applies to a cohort or program change. Tuition will be recalculated if the new program has a different price. A change may also affect the student’s schedule, payment plan, completion date and graduation date.

WITHDRAWING FROM A CERTIFICATE OR DIPLOMA

Telling an instructor verbally, stopping attendance or simply disappearing is not formal withdrawal notice. The date written notice is received is used when determining the student’s program status and final account.

Withdrawal Before 50% Completion

Certificate and Diploma package pricing includes discounts based on completing the full program. If a student withdraws or is removed before completing 50% of the program, the courses/training already completed will be recalculated at their current regular à-la-carte prices. Payments already made will then be applied to the recalculated amount. If the student has overpaid, the applicable overpayment will be refunded. If the student has underpaid, the remaining amount is owed.

Registration deposits remain non-refundable.

Withdrawal at or After 50% Completion

Once 50% or more of the program has been completed, there is no refund and the full Certificate/Diploma tuition becomes payable. Any remaining tuition balance is still owed. Accounting makes the final account calculation.

ATTENDANCE

Students are expected to attend scheduled classes and arrive on time. Massage therapy training is highly practical. Missing even one hands-on class can mean missing techniques that cannot simply be learned from notes.

Missing a Hands-On Class

Students are responsible for making up required practical material. Private make-up/tutoring sessions may be arranged directly with the instructor. Each instructor sets their own private tutoring fee, and the student pays the instructor directly. These sessions are not billed through École Setsuko, and the school does not issue invoices or receipts for private tutoring. Repeated absences may require the student to transfer to a future cohort. The $150 cohort-change fee may apply.

Arriving Late or Leaving Early

Students are expected to attend the full class. Whether a late student may join a class is at the instructor’s discretion. Depending on the amount or type of material missed, the instructor may require a private make-up session.

Missing an Online Theory Class

Online theory classes may be recorded and posted privately through Google Classroom. If a student misses a live online theory class, they must watch the recording and submit a summary before the next scheduled class. The summary is required coursework and confirms that the missed material was reviewed.

Illness

Students who are actively ill or contagious should not attend hands-on classes or clinics. Notify the instructor as soon as possible. Regular make-up requirements apply, although exceptional circumstances may be considered at the instructor’s discretion.

ACADEMIC RESPONSIBILITIES

École Setsuko uses a Pass/Fail system rather than percentages or letter grades. Students are evaluated against the knowledge, practical skills and professional competency required for the training—not against one another. Students must complete all required homework, assignments, summaries, case studies, exams, practical evaluations and clinics. Due dates are established by instructors. Consistently failing to complete coursework or meet deadlines may result in a warning and, if the problem continues, removal from the program. If homework, a case study or another assignment does not meet the required standard, the instructor may require it to be corrected or redone. There is no fee for resubmitting academic work.

Academic Honesty & AI

Students must submit their own work. AI tools may be used to help with spelling, grammar, organization, understanding concepts or reviewing work the student has already written. AI may not be used to write complete homework, assignments, summaries or case studies that are then submitted as the student’s own work. Plagiarism, copying another student’s work, cheating or having another person complete coursework is not permitted. If an instructor questions whether work reflects the student’s own understanding, the student may be asked to explain or demonstrate their knowledge. Serious or repeated academic dishonesty may result in a failed assignment/evaluation, suspension or removal from the program.

EXAMS & RETAKES

Required exams and evaluations are normally completed during scheduled class time. If a student misses a scheduled exam without prior approval or exceptional circumstances, a $150 fee applies to schedule and administer the exam at another time. If a student fails an exam, they may complete one retake for $150. If the second exam attempt is failed, the student must repeat the applicable course/training before attempting the evaluation again.

For regular École Setsuko students repeating a failed course, tuition is 50% of the current published course price. The student must repeat all applicable requirements, including classes, homework, assignments, exams, case studies and practical requirements.

STUDENT CLINICS

Students enrolled in Certificate and Diploma programs must successfully complete the required student clinic before graduating. École Setsuko arranges the clients for scheduled student clinics. Students are not responsible for finding their own clinic clients.

Students should provide at least 24 hours’ notice if they cannot attend their clinic whenever possible.

Missing or repeating a clinic normally requires a $150 clinic fee before another clinic can be scheduled. In cases of sudden illness, emergency or exceptional circumstances, the instructor may waive the fee at their discretion. Clinics are Pass/Fail. A student who fails the first clinic may complete one clinic retake for $150. If the second clinic is failed, additional/repeated training will be required before another clinic attempt.

Clinic Attire

Students receive an École Setsuko T-shirt for clinic and are expected to wear it with clean, professional clothing appropriate for hands-on work. Students must maintain good personal hygiene, clean hands, short clean nails and secured hair when necessary. Strong perfumes, colognes, essential oils or heavily scented products should not be worn.

CASE STUDIES & HOME PRACTICE

Students are responsible for finding their own case-study participants and for having access to a massage table and basic supplies required for home practice. Students may not charge case-study participants for treatments performed as part of their training requirements. Case studies must follow the consent, documentation, confidentiality and other procedures taught by the instructor.

PROGRAM COMPLETION & GRADUATION

Attending all scheduled classes does not automatically mean a student has graduated.

Before a Certificate or Diploma can be issued, students must:

  • complete all required homework, assignments, summaries and case studies;
  • pass all required exams and evaluations;
  • complete and pass the required clinic;
  • complete all other academic and practical requirements; and
  • pay all tuition, fees and outstanding balances in full.

 

Students should normally complete outstanding academic work before attending clinic. If work remains outstanding, participation in clinic is at the instructor’s discretion and does not remove the requirement to complete that work.

Students with incomplete academic requirements, exams, clinics or payments cannot participate in their cohort’s graduation ceremony.

Students who finish later officially complete the program only after all requirements are approved. If they wish to attend a graduation ceremony, they may attend the next available graduation rather than the ceremony of their original cohort.

If coursework remains outstanding after scheduled classes end, any additional completion time is at the instructor’s discretion.

CERTIFICATES, DIPLOMAS & STUDENT RECORDS

École Setsuko operates primarily in a paper-free environment.

Digital Certificates are normally emailed within a few business days after the instructor confirms attendance and successful completion. Certificates and Diplomas are not issued while required coursework or outstanding balances remain incomplete. We provide digital certificate name corrections/replacements at no charge.

Printed Certificates or replacement printed Certificates/Diplomas are $15, plus shipping where applicable. If École Setsuko made the original printing error, the correction will be provided at no charge.

Diploma program graduates receive their printed Diploma at graduation at no additional charge.

Students are responsible for safely keeping their own Certificates, Diplomas, invoices, receipts and important training records. École Setsuko keeps records where possible but cannot guarantee indefinite storage or future availability of older records.

Proof of enrolment, confirmation letters, transcripts and confirmation of training hours may be requested from classes@ecolesetsuko.ca at no charge, where records are available.

GOOGLE CLASSROOM & COURSE MATERIALS

Google Classroom normally remains accessible for approximately 3 months after a course/program ends, but this is not guaranteed. Students should download and save any permitted materials they wish to keep before access ends. Private class recording links are provided for registered students only and must not be shared.

All École Setsuko manuals, PDFs, handouts, presentations, recordings, videos, Google Classroom content and instructor-created materials are for the registered student’s personal educational use. They may not be copied, sold, uploaded, publicly posted, distributed, forwarded or shared with friends, coworkers, other therapists or anyone who is not registered in the course.

PROFESSIONAL CONDUCT

Students are expected to treat instructors, staff, classmates, clients and visitors respectfully. Bullying, harassment, discrimination, intimidation, threats, aggressive behaviour, repeated disrespect, inappropriate comments or serious classroom disruption are not acceptable. Ordinary concerns will normally be addressed with the student and an opportunity to correct the behaviour. Continued problems may lead to a formal warning, suspension or removal.

Serious misconduct—including violence, threats, serious harassment, deliberate unsafe behaviour or conduct that places another person at risk—may result in immediate suspension or removal.

Fitness to Participate

Students must arrive able to participate safely and professionally. A student impaired by alcohol, cannabis, recreational drugs, medication or another substance to the point that safe participation is affected may be asked to leave and may not participate in hands-on work or clinic.

Consent & Professional Boundaries

Consent must be respected during all practical training and clinic work. Students and clients have the right to communicate discomfort, request a modification, decline treatment of an area or ask that a technique stop. Professional draping, positioning, communication and touch must be maintained. Sexualized behaviour, inappropriate touching, deliberate exposure, ignoring boundaries or continuing after consent has been withdrawn may result in immediate disciplinary action.

Confidentiality

Information learned about clinic clients and case-study participants must be treated professionally and confidentially. Personal or health information must not be posted or shared unnecessarily, including through social media or group chats. Client photos, videos or recordings require appropriate permission.

Phones, Photos & Recordings

Use of phones and electronic devices during class is at the instructor’s discretion. Students may not photograph or record instructors, classmates, demonstrations, treatments or classes without permission. Permission to make a recording for personal study does not give permission to post, distribute or share it.

HANDS-ON PARTICIPATION, HEALTH & ACCOMMODATIONS

Students in hands-on programs are generally expected to both give and receive treatments and techniques during training.

Students should inform École Setsuko before registering if a physical limitation or other circumstance may prevent them from safely participating in or completing practical requirements.

Students do not need to provide unnecessary private medical information, but enough information must be provided for the school to determine whether reasonable modifications are possible.

Pregnant students may participate with appropriate modifications when needed.

Students requiring learning or exam accommodations should communicate with École Setsuko in advance. Reasonable accommodations will be made where possible, but required professional competencies and practical skills must still be demonstrated.

LANGUAGE OF INSTRUCTION

Most École Setsuko courses are taught in English. French course notes and written exams may be requested. Students should be comfortable enough with the language of instruction to understand the teaching and safely participate in practical training.

PREREQUISITES

Some courses require previous education or training. Prerequisites are listed on the registration page. Students are responsible for reviewing the prerequisites before registering. École Setsuko may request proof of previous education, certification or training.

If you are unsure whether your previous training qualifies, contact classes@ecolesetsuko.ca before registering.

If it is discovered after registration that a prerequisite has not been met, École Setsuko will review the situation individually and determine the appropriate next step.

RECOGNITION OF PREVIOUS OR INTERNATIONAL TRAINING

École Setsuko can assess previous massage therapy or related education completed at another school or in another country.

The process begins with a review of the applicant’s education and supporting documents. École Setsuko then determines what training can be recognized and whether additional workshops, written exams, practical exams or training are required.

Administrative Review — $450
Includes processing/review of previous and international documents and, where requirements are successfully met, applicable new Diplomas/Certificates and transcripts.

The $450 administrative fee is non-refundable once the review has begun. Paying the review fee does not guarantee recognition or the issuing of a Diploma or Certificate.

If an applicant fails a required equivalency exam, one retake is permitted at the applicable exam fee. After a second failed attempt, additional training will be required. Required training and tuition will be determined individually by École Setsuko.

PROFESSIONAL ASSOCIATIONS

Students are responsible for confirming before registering that a course, Certificate or Diploma meets the requirements of their professional association, employer, insurer or other organization. Requirements vary and can change.

École Setsuko can provide information regarding training hours, course content and completion but cannot guarantee how an outside organization will recognize a course or program.

PERSONAL BELONGINGS

Students are responsible for their personal belongings while attending École Setsuko. The school is not responsible for lost, stolen or damaged personal items.

POLICY UPDATES

École Setsuko may update its policies, procedures, fees, schedules or program requirements when necessary. Students will be informed of significant changes that directly affect their current course or program. The most current version of École Setsuko’s policies applies.
